How much does an AI agent cost for an SMB? What we measured in our own businesses

It's often the second question people ask us, right after "where do we start?" And we get why: AI has a reputation for being reserved for large companies with big R&D budgets. That reputation is less and less true.

Here's what it actually costs, and what it actually returns, based on what we've measured in our own businesses and with our SMB clients across the Outaouais.

The cost model of a managed-service AI agent

The cost of an agent vs. the cost of not having one

The real question isn't "how much does it cost?" but "how much is it costing me to do this by hand?"

Take a concrete example with payment follow-ups. A professional-services SMB in Gatineau was sending about 40 follow-ups a month. Each one took an average of 8 minutes to prepare and send by hand (find the invoice, write the email, send it, log the follow-up). That's 320 minutes a month, or more than 5 hours, at an hourly rate of $25 for the administrative role. Monthly cost: $133. With the agent, that time dropped to almost zero.

Our rule of thumb: if the agent's monthly cost is lower than the cost of the human time it replaces, the deployment pays off. For every client we've diagnosed to date, that threshold is met with the very first agent.

The hidden costs nobody mentions

The direct cost of human time is the visible part. There are also less obvious costs.

Errors and missed tasks

An invoice that never went out, a forgotten follow-up, a quote that expires with no follow-through: every error has a real cost. According to a Sage study, SMBs lose an average of $22,000 a year to avoidable administrative errors (Sage, Report on SMB Administration Costs, 2022). The agent eliminates missed tasks by design.

The opportunity cost

When an employee spends 5 hours a week on repetitive tasks, that's 5 hours less for high-value work: customer service, business development, solving complex problems. That lost potential is hard to quantify, but very real.

Staff turnover

Employees who spend their time on low-stimulation tasks are more likely to leave. Hiring and training a replacement costs between one and two times the position's annual salary, according to the Conference Board of Canada.
